Online booking
Section titled “Online booking”Mediyn’s online booking feature gives therapists and clinic admins a fully connected, self-service scheduling experience. Patients can browse therapist profiles, select available times, and complete bookings through a public page at book.mediyn.com. Clinics control scheduling rules, payment collection, and approval workflows, while patients receive automatic confirmations and calendar invites.
Plan Availability
Section titled “Plan Availability”- Online booking is available to solo therapists on the Premium plan. The Booking section appears in the Settings sidebar for eligible accounts.
- Therapists on Starter or Professional plans who visit the Booking settings page will see an upgrade prompt explaining how to unlock the feature.
Setting Up Your Public Booking Page
Section titled “Setting Up Your Public Booking Page”- Clinic admins manage their public booking page from Settings → Booking. From this page you can enable or disable online booking, set scheduling rules (lead times, buffers, approval requirements), configure payment collection at booking, and control which session types are available to new patients.
- You can set your advance booking window, buffer time between appointments, and booking link slug directly from the booking settings page. The form highlights any entries that need correcting before saving.
- The booking status badge displays three clear states — Live, Needs slug, and Disabled — so it is always clear whether your public booking page is reachable. The Preview and Copy URL actions are disabled until a valid booking slug is saved, preventing broken links from being opened or shared.
- The settings page correctly shows that all session types are available when no custom allow-list has been configured.
- After updating your availability, you can click Preview booking page directly from the availability settings screen to see exactly what patients will see when they visit your public booking link. If your booking profile is not yet set up, you will be guided to complete that step first.
Therapist Profiles and Booking Page Appearance
Section titled “Therapist Profiles and Booking Page Appearance”- Therapists and clinic admins can manage public booking profiles from the Team Settings page. Fields include a public bio, profile photo, booking page URL, and an option to stop accepting new patients.
- When the Accepts New Patients toggle is turned off, the therapist will no longer appear on the clinic’s public booking page. When a clinic admin updates this setting, all therapist profiles on the public booking page reflect the change immediately with no delay.
- Booking pages show each therapist’s profile photo, a short bio, and their areas of specialty, making it easier for patients to choose the right practitioner before booking. When a therapist has not uploaded a photo, the clinic’s branding is displayed instead. This applies automatically to all public booking links — no additional setup is required.
Patient Booking Flow
Section titled “Patient Booking Flow”- Patients can browse real therapist profiles, view live availability, and complete a full booking through the Mediyn booking portal. Confirmation pages include a working calendar download link tied to the actual appointment.
- Clinics control whether bookings are confirmed automatically or held for therapist approval. Patients receive a calendar invite and a magic link to access their patient portal after their booking is confirmed.
- Returning patients can sign in on the booking page using a magic link sent to their email. Once signed in, name, email, and phone are filled in automatically. Active session packages and saved payment methods can be selected without re-entering any details.
- Patients with an account on book.mediyn.com can complete bookings and package purchases using a saved payment method without re-entering card details. Existing booking links and unauthenticated flows continue to work exactly as before.
- When a new patient books an appointment online, they are automatically assigned to the therapist they selected. The therapist will see the new patient in their patient list right away, without needing to manually assign them.
Session Packages
Section titled “Session Packages”- Clinic admins can create, edit, and delete session package templates directly from the Booking Settings page. Packages define pre-paid bundles (for example, a 10-session bundle at a fixed price) that appear as purchase options on the public booking page.
- Each package can optionally be linked to a specific session type, or made available for any session type.
- Patients can browse and purchase session packages directly from the clinic booking page, paying with a new card or a saved card on file. Once purchased, the package appears immediately in the patient portal.
Payment Collection
Section titled “Payment Collection”- The public booking page initiates card capture scoped to the clinic’s Stripe account when the clinic has completed payment onboarding. Clinics that have not yet completed Stripe onboarding are unaffected and will not see payment capture options.
- When a booking request is declined, or a booking is cancelled before it is confirmed, any payment already collected is automatically refunded. Patients receive an email confirmation of the refund; funds typically appear within 5–10 business days depending on the card issuer. No manual action is required from clinic staff.
Managing Booking Requests
Section titled “Managing Booking Requests”- Clinic admins can review, confirm, or decline incoming booking requests directly from the Schedule section. Pending requests can be confirmed with an optional session type and intake packet, or declined with a reason, all from a single page. The sidebar shows a live count of pending requests.
- Therapists and clinic admins can review and act on incoming booking requests from the iOS app. Each request shows the patient name, requested date and time, and session type, with options to confirm, decline, or cancel.
Phone-Initiated Bookings (Watson Integration)
Section titled “Phone-Initiated Bookings (Watson Integration)”- Clinics using the Watson AI voice-agent integration can receive bookings initiated from phone calls. When Watson books a patient, the patient automatically receives a secure payment link by email to confirm and pay for their appointment. Once payment is completed, the appointment is confirmed and the patient receives access to their session details — no manual steps are required from clinic staff.
Page Design
Section titled “Page Design”- The booking page uses a sage and off-white color scheme applied consistently across all sections and illustrations. Informational cards and booking-flow illustrations use a unified color palette, and the page layout follows a cleaner alternating-section pattern for easier reading. No functionality has changed.
