Therapy worksheets
Section titled “Therapy worksheets”Mediyn’s Worksheets feature lets therapists create, personalise, assign, and review clinical worksheets and handouts within a single workflow. Patients receive assignments in their portal, complete them interactively, and submit responses directly to their therapist. The full workflow — from AI-generated recommendations through patient submission and therapist review — is available on Starter, Professional, and Premium plans, with monthly usage limits applied on Starter and Professional.
Worksheet and Handout Types
Section titled “Worksheet and Handout Types”- Mediyn distinguishes between two content types: interactive worksheets, which contain editable fields for patients to fill in, and handouts, which are read-only educational documents.
- When browsing templates, a badge on each item indicates whether it is a worksheet or a handout, and you can filter the template list by type.
- Patients viewing an assigned handout see a read-only layout with a “Mark as Read” action rather than an editable form.
- Worksheet templates that contain activity instructions, checklists, or purely informational content are displayed as read-only and are not presented as editable forms.
Template Library and Editor
Section titled “Template Library and Editor”- Worksheet templates correctly describe their own fields, including field types and which fields are required, so the platform displays an accurate, template-specific form rather than a generic placeholder.
- Fields in the editor display clear, descriptive labels — for example, “List three things you’re grateful for” — instead of blank or technical placeholder text.
- Fields shown in the worksheet editor correspond exactly to content that appears in the delivered PDF; no entered content silently disappears from the output.
- Templates no longer display extra empty fields that appeared in the editor but had no effect on the final document. This affects templates including BullsEye and approximately 20 others that previously showed unexplained input areas.
- In the editor, fields are visually labeled by their role — sections the patient will fill in are distinguished from therapist-authored or structural content — so you can review and prepare assignments before sending.
- The Templates settings page correctly saves worksheet and intake template changes, including signature requirements and system/custom classification. An import button that previously showed a success message without performing any action has been removed.
AI Recommendations and Draft Creation
Section titled “AI Recommendations and Draft Creation”- When a session is approved, Mediyn automatically analyses session notes and generates ranked worksheet recommendations, which appear immediately on the session’s Worksheets tab — no manual action required.
- You can accept a recommendation to create a personalised draft or dismiss it to remove it from your list. You can also re-run the analysis at any time to refresh recommendations for a session.
- Worksheet recommendations and generated content take into account recent clinical assessment results — such as depression or anxiety screening scores — when that information is available.
- Mediyn’s recommendation engine draws from the full catalogue of published worksheets, including templates covering specialties such as trauma, grief, and sleep concerns.
- A “Pending Recommendations” count on each patient’s profile gives a quick view of unreviewed suggestions across all their sessions.
- After accepting a recommendation, Mediyn automatically generates a personalised draft for your review without any extra steps.
- The Create Draft dialog displays the selected template’s details alongside a searchable list of session cards, making it easier to pick the right session and spot any existing drafts before creating a new one.
- Therapists can approve multiple AI-generated worksheet drafts within a single session. Each approved worksheet is delivered to the patient independently with its own PDF, clinical notes, and approval record. There is no limit of one approved worksheet per session.
Reviewing and Approving Drafts
Section titled “Reviewing and Approving Drafts”- Therapists can open any worksheet draft directly to preview AI-generated content, acknowledge warnings, and approve the draft for patient delivery.
- Worksheet draft previews detect and flag potential identifying information before a worksheet is finalised. If the draft contains no identifying details, the preview confirms it is clean. Warnings are shown only when content may need review.
- When generating a worksheet PDF, if the system detects content that may require attention, a dialog lists the specific items found. You can review them and click “Acknowledge & Render” to proceed.
- Worksheet approval requires explicitly acknowledging any flagged warnings before a draft can be approved and assigned. Attempting to approve a draft with unreviewed warnings returns an actionable error prompting the required acknowledgement step. Each acknowledgement captures your stated reason, which is retained.
- Once all required warnings are acknowledged, the draft automatically becomes eligible for approval.
- You can delete worksheet drafts that have not yet been approved. A “Delete Draft” option is available on unapproved drafts in the draft list and draft detail views on web and iOS. Drafts that have already been approved and linked to a finalised artifact cannot be deleted this way — you would need to delete the artifact instead.
Assigning Worksheets to Patients
Section titled “Assigning Worksheets to Patients”- Approved worksheets can be assigned to patients with an optional due date directly from the session view. Once assigned, the worksheet appears immediately in the patient’s portal.
- Patients receive a notification when a worksheet is assigned.
- Therapists can assign any available exercise template to a patient and receive a fully rendered PDF worksheet incorporating AI-generated, template-specific content.
Patient Portal — Completing Worksheets
Section titled “Patient Portal — Completing Worksheets”- Patients can visit the Worksheets section of their portal to see all worksheets assigned by their therapist in one place.
- Pending worksheets are clearly marked as overdue or in progress, with direct buttons to start or continue each one.
- Patients can open any assigned worksheet, read the instructions, type responses, and save progress as a draft at any time. When ready, tapping “Submit Worksheet” sends completed responses to the therapist.
- Submitted worksheets are shown in a read-only view so patients can refer back to what they wrote.
- Completed worksheets are listed separately, showing submission date and whether they have been reviewed.
- In the patient portal, editable response fields and read-only therapist notes are visually separated, making the experience clearer for patients.
- Patients can download PDF copies of their completed worksheets directly from the portal.
Therapist Review of Submitted Worksheets
Section titled “Therapist Review of Submitted Worksheets”- Once a patient submits their responses, the worksheet card becomes interactive — therapists can read the full response and mark the assignment as reviewed, optionally adding their own notes.
- The worksheet detail page highlights the review action as the primary next step and surfaces the patient’s submission at the top of the page.
- Action buttons throughout the workflow reflect what is actually possible at each stage — for example, an “Assign to Patient” button is not shown for a worksheet that has already been submitted.
- Navigating to a worksheet directly from the Needs Attention list automatically opens the review panel so you can act without extra scrolling.
- In the response view, template-provided content and patient answers are visually distinguished — template defaults are marked and styled separately from patient responses, making it faster to review what a patient wrote.
- Therapists can see their own review notes when revisiting a completed worksheet, and patients can view the feedback their therapist left during review. Both the review notes and the timestamp of the review are available on worksheet detail pages in the web app and iOS app. Worksheets reviewed before this capability was added will not show historical review notes.
Worksheets Page and Navigation
Section titled “Worksheets Page and Navigation”- The Worksheets page provides a central view of Active Drafts, Delivered worksheets, a Needs Attention tab, and Templates.
- Active Drafts lists all in-progress worksheet drafts with their status. Delivered shows all approved worksheets along with whether they have been assigned to a patient and whether the patient has responded. Both tabs support search and filtering by status or patient.
- The Needs Attention tab shows all pending worksheet recommendations and items awaiting your review across every session in one place, without requiring you to open individual session records. This tab is available on Premium and higher plans.
- The worksheet list shows the current status of each assigned worksheet — sent, in progress, submitted by the patient, or reviewed. Items you have already acted on no longer appear in the Needs Attention section.
- You can view a patient’s worksheet assignments directly from their profile page. The Worksheets tab — located between Assessments and Billing — shows all assigned exercises grouped into Assigned, Submitted, and Reviewed sections, including due dates and whether the patient has responded.
PDF Generation and Download
Section titled “PDF Generation and Download”- Worksheet PDF preview and rendering work from both the session’s Worksheets tab and the Active Drafts view. Both entry points handle all outcomes, including warnings that require acknowledgement.
- Worksheet PDFs correctly render all images, including diagram-based exercises such as the Bull’s Eye Exercise that previously appeared without images.
- Completed worksheets are available for download immediately after generation via a secure, time-limited download link. Links are generated fresh on request and do not require additional sign-in steps.
- Checksums are provided so you can verify the integrity of any downloaded file.
- A de-identified, print-ready PDF can be exported directly from a completed worksheet draft. De-identification is applied before export.
- PDF downloads are available from the artifact detail page on web and iOS for both therapists and patients.
Plan Limits and Usage
Section titled “Plan Limits and Usage”- Therapists on the Starter plan can see a usage indicator on the Worksheets and Assessments pages showing how many they have used out of their monthly allowance.
- The indicator turns amber as the limit approaches and red when it is reached. Clicking it opens the upgrade page.
- Monthly limits are enforced consistently across all worksheet and assessment actions, including PDF generation, artifact assignment, and AI-generated assessment recommendations.
- When a monthly limit is reached, the platform returns a clear error so the practice can decide whether to upgrade for unlimited access.
- Therapists on Starter and Professional plans have confirmed access to worksheets and assessments up to their plan’s monthly limits.
